Hardware and Paint Shop Billing: Thousands of Items, Loose Pieces and Contractor Credit

Screws by the piece and by the box, paint by the tin, a plumber on credit, and a rack nobody remembers — a hardware counter is the hardest counter in the market.

The short answer

A hardware or paint shop needs billing that finds one item among thousands in two keystrokes, sells a box or a single piece out of it, knows which rack it sits on, and keeps credit for contractors and plumbers. Bilzy does this on Windows and Android: import your whole list from Excel, set how many pieces are in a box so you can sell loose, record each item’s rack, and keep a running account with a credit limit for every contractor. It costs ₹999 a year.

Paints, sanitary ware, hand tools and cement all carry 18% GST, so most of the shop bills at one rate — and Bilzy helps you find the right HSN code for each item.

  • Sell the box. Sell the piece. Know what is left of both.

How to set up a hardware shop on Bilzy

  1. 1

    Import your item list

Bring items in from an Excel sheet and choose which column is the name, the price, the GST and the HSN. No typing thousands of lines.

  2. 2

    Set boxes and pieces

For screws, hinges and fittings, set how many pieces are in a box. The counter can then sell 2 boxes and 3 pieces on one line.

  3. 3

Write the rack on each item

Put a rack or shelf number on each item. The Racks screen lists what sits where, and what is on no rack at all.

  4. 4

    Add contractors as parties

Make an account for each contractor, plumber and electrician, with a credit limit.

  5. 5

    Bill at the counter

Type two letters, pick the item, enter the quantity in boxes or pieces, and finish the bill.

  6. 6

    Quote the site orders

For a site order, make a quotation. When it is confirmed, turn it into the bill and send a delivery challan with the goods.

  7. 7

    Collect bill by bill

When a contractor pays, settle particular bills or take a lump sum, and send him a statement.

Cement18% (was 28% before 22 September 2025)

Hardware counter habits that save hours

Name items the way customers ask

“Hinge 4 inch SS” is found faster than a code nobody says out loud.

A rack on every item

A new helper finds the shelf without asking you, even on his first day.

A credit limit for every contractor

The warning comes before the dues become a problem, not after.

Statements every month

A contractor who sees a clear statement pays faster and argues less.

Count the busy racks first

Fasteners and fittings move fastest and go missing most. Count them often.

Keep bulk in the godown

Pipes and cement bags stay in the godown; move stock to the shop as it is needed.

A customer in a hardware shop is never buying a screw. He is finishing a job. Help him finish it faster.

Questions shopkeepers ask

Can Bilzy handle ten thousand items?

Yes. Import them from Excel in one go, choosing which column is which, and find any item at the counter by typing part of its name.

Can I sell a single piece out of a box?

Yes. Set how many pieces are in a box. The counter takes quantities like 2 boxes and 3 pieces, and stock stays right.

How do I manage contractor credit?

Add each contractor as a party with a credit limit. Unpaid bills go on his account; collect bill by bill or as a lump sum, and send him a statement.

Is Bilzy only for small shops?

No. It is priced so a small shop can afford it, and built for a busy one: staff logins with roles, stock in more than one godown, wholesale rates and credit limits, GSTR-1 and GSTR-3B files, and billing that keeps going when the internet does not. The low price is how it is sold — one yearly plan, bought online, with no AMC — not a smaller product.

Does Bilzy work without internet?

Yes. Bills are made and saved on the phone or the PC, and go up to your account when the connection comes back.

Can I use it on my phone and my computer together?

Yes, on one account. Items, parties and bills are the same on both, and stock is moved by the server so two counters cannot sell the same last piece. Phone + Windows is ₹1,299 a year.

Can my staff bill without seeing my profit?

Yes. Each staff login gets only the screens you tick. Purchase cost and profit are their own permission.
