The short answer

A pharma distributor bills chemists at a trade rate, prints the buyer’s drug licence and GSTIN, passes on company schemes, and takes back expired stock. Bilzy Pharmacy does this: a trade rate (PTR) on each batch for firm buyers, firm parties with their licence and GSTIN on the bill, schemes and free goods worked into the cost, expiry and breakage returns as credit notes to chemists and debit notes to companies, salesman commission and GSTR-1 files. It runs on Windows, Android and a browser from ₹699 a year.

Outstanding is collected bill by bill, and every chemist can be sent a clear statement.

  • In distribution, margin is made on the rate and lost on the returns. Watch both.

  • Every chemist you supply runs a counter that depends on your bill being right.

  • Expired stock is not waste. It is a debit note waiting to be raised.

The distributor’s cycle

  1. 1

    Company purchase

Batch, expiry, scheme and free goods into stock.

  2. 2

    Firm order

A chemist’s order billed at the trade rate.

  3. 3

    Delivered

Buyer’s licence and GSTIN on the bill; e-way bill number when needed.

  4. 4

    Collected

    Outstanding settled bill by bill.

  5. 5

    Returns

Expiry back as a credit note, on to the company as a debit note.

How to bill a chemist on Bilzy Pharmacy

  1. 1

    Switch on trade rates

Turn on the trade rate, so each batch can carry what a firm pays — the PTR — beside its MRP.

  2. 2

    Add chemists as firms

Make each chemist a firm party with GSTIN, drug licence number and address.

  3. 3

    Enter company purchases

Enter each purchase with batch, expiry, scheme and free goods. The real cost per unit is worked out with the scheme in it.

  4. 4

    Bill the firm

Pick the firm; the lines take the trade rate. The buyer’s drug licence and GSTIN print on the bill.

  5. 5

    Add the transport details

Put the e-way bill number on the bill when a consignment needs one.

  6. 6

    Collect outstanding

Settle payments bill by bill and send the chemist a statement.

  7. 7

    Take expiry returns

Take expired or broken stock back from the chemist as a credit note, and return it to the company as a debit note.

Scheme maths: why the printed rate misleads

Two companies’ stockists quote for the same medicine. The cheaper one on paper is the dearer one in the box.

Questions shopkeepers ask

Can Bilzy Pharmacy bill at trade rates?

Yes. Each batch can carry a trade rate beside its MRP, and bills to firm parties take the trade rate.

Can the buyer’s drug licence print on the bill?

Yes. Save the chemist’s drug licence number on the firm and switch on printing the buyer’s licence on the bill.

How are expiry returns handled?

Take the expired stock back from the chemist as a credit note, and return it to the company as a debit note. A purchase return can be made at cost plus GST, cost including GST, MRP, or your own rate.

Is Bilzy Pharmacy only for small medical stores?

No. It is priced for a single counter and built for a busy one: batch-wise stock with earliest-expiry-first billing, the Schedule H1 register, trade rates for firms, a reorder list that compares what each distributor really charged, GSTR-1 and GSTR-3B files, and staff logins with roles.

Does it work without internet?

Yes. Billing, the list of over 3 lakh medicines and the reports work offline on the Windows app, and everything syncs when the line is back.

Can I bring my medicines from my old software?

Yes. Upload the medicine list or a purchase bill from Excel and it becomes stock with batch and expiry. Customer and supplier balances come in the same way.
