From the Khata Notebook to Billing Software, Without Losing What Made It Work
Your father’s khata knew every family on the street. It could not tell him what was running out, what he was owed in total, or what the tax return would ask.

The short answer
The khata notebook works because it is personal: every customer has a name, every rupee has a date, and the shopkeeper’s word is the record. Billing software keeps all of that and adds what paper cannot — totals that add themselves, stock that moves with each bill, statements you can send, and a safe copy if the book is lost. Moving takes about a week: bill on the software first, then move udhaar customers, then supplier bills. Bilzy does it on Android and Windows for ₹999 a year, with a free plan to start.
The trust stays yours. The arithmetic becomes the software’s job.
- Keeps
- Names, dates, trust
- Adds
- Totals, stock, statements

The khata carried the trust. Let the software carry the arithmetic.
Your customers know your face. Now let them see a clear statement.
Every page of udhaar is money. Do not let a torn page decide it.
What the khata got right
The khata is not a bad system. It is a simple one that asks nothing of the shopkeeper but a pen. It is personal — the entry is in your hand, under a name you know. It is flexible — a note in the margin says “will pay after harvest”. And it never needs electricity.
Any software that replaces it has to keep those three things: the personal account, the flexibility, and the certainty that it will work the moment you open the shutter.
The khata and the software, side by side
| Khata notebook | Billing software | |
|---|---|---|
| A customer’s account | A page with their name | An account with every bill and payment |
| What everyone owes in total | Add up every page | On one screen, always current |
| Stock | Not in the book at all | Moves with every bill |
| A reminder | A phone call from memory | A statement on WhatsApp |
| If it is lost or gets wet | Gone | Safe in your account |
| Power cut or no internet | Still works | Still works, and syncs later |
| GST | A separate headache | Worked out on every bill |
Moving from the khata to Bilzy in a week
You do not have to put the notebook away on day one. Run both for a few days and let the software earn its place.
- 1
Install and bill one customer
Install Bilzy on the phone or the counter PC and make your first bill — any item, any customer. See it printed or on WhatsApp.
- 2
Add the items you sell most
Start with the hundred items that make most of your sales, or import your full list from Excel.
- 3
Bill every sale on the software
For a few days, bill everything on Bilzy even while you still write the khata. Compare the two at night.
- 4
Move your udhaar customers
For each regular, add the name and phone and enter what they owe today as the opening balance.
- 5
Move what you owe suppliers
Add suppliers with what you owe each one, then enter new purchase bills as they arrive.
- 6
Retire the khata
When the software and the notebook agree for a week, keep the notebook as history and let the software carry on.
What changes at the counter
- 1
Before
Write, add up, check, write it again.
- 2
The bill
Scan or search; the total adds itself.
- 3
Udhaar
Saved to the customer’s account.
- 4
Reminders
A statement sent, not an argument.
- 5
Closing
Totals already done; the shutter comes down on time.
The notebook was never the shop’s strength. The shopkeeper was. Give the shopkeeper better tools.
The worries shopkeepers have about moving — and plain answers
“I am not good with computers.”
If you can send a WhatsApp message, you can make a bill. Start on the phone.
“What if the internet goes?”
Bills are saved on the phone or the PC and sync when the line is back.
“What if the phone breaks?”
Your data is in your account. Sign in on a new phone and it is all there.
“My customers like the notebook.”
They like you. A clear statement on WhatsApp makes paying you easier.
“It will cost too much.”
There is a free plan to try, and the full Windows plan is ₹999 a year.
“My staff will see everything.”
Staff logins open only the screens you allow.

Questions shopkeepers ask
Can I move my udhaar khata into an app?
Yes. Add each customer with what they owe today as the opening balance. New bills and payments then go on their account, and you can send them a statement.
Do I need a computer?
No. The Bilzy Android app makes bills, keeps udhaar and stock, and prints on a Bluetooth thermal printer. You can add a Windows PC later on the same account.
Is Bilzy only for small shops?
No. It is priced so a small shop can afford it, and built for a busy one: staff logins with roles, stock in more than one godown, wholesale rates and credit limits, GSTR-1 and GSTR-3B files, and billing that keeps going when the internet does not. The low price is how it is sold — one yearly plan, bought online, with no AMC — not a smaller product.

Business Software Should Not Be a Luxury. Every Shop Deserves It.
The corner shop and the chain store work the same hours, carry the same risk and pay the same GST. Only one of them was ever expected to afford good software.
